ZATCA credit notes for WooCommerce refunds

Last updated:

When you refund a WooCommerce order, your e-invoicing records need to reflect that change. Raseedo creates a credit note for the refund and links it to the original invoice. The note includes the refund reason, is signed and follows the invoice sequence kept by the plugin. How it reaches ZATCA depends on whether the original invoice was simplified or standard.

Credit notes start with WooCommerce refunds

A refund in WooCommerce starts the credit note process. Raseedo uses the refund to prepare a document that refers to the original tax invoice. This connects the correction to the sale it changes.

The refund reason is included in the credit note. Staff reviewing the documents can distinguish a refund record from the original sale. The credit note is a separate signed document with its own place in the e-invoicing record.

You do not need a separate refund process for simplified invoices. The free plugin handles credit notes for those orders. If the original order was issued with a Pro standard invoice, its refund follows the standard credit note path instead.

Full and partial refunds

A full refund produces a credit note for the refunded order. For a partial refund, the credit note reflects the refunded lines or amount, rather than treating the entire original sale as refunded.

This distinction matters when a customer returns one item from an order containing several items. The credit note refers back to the original invoice but records only the part being reversed. The original invoice remains part of the stored records.

You can review the signed credit note and ZATCA response on your site alongside the WooCommerce refund.

Reporting for B2C and clearance for B2B

For simplified tax invoices, the credit note is signed and reported to ZATCA. The reporting process follows the same type of submission used for consumer invoices, which must be reported within 24 hours. The free plugin covers this path.

A standard invoice needs ZATCA clearance before it is given to the buyer. Credit notes for those standard B2B invoices also require clearance. This path needs Raseedo Pro, because standard invoice issuance and its related credit notes are Pro features.

The document type follows the original invoice. This keeps your refund documents aligned with the invoice type already issued for the order.

Counter, previous hash and stored records

Credit notes participate in the same document chain as invoices. Each document carries an invoice counter (ICV) and the previous invoice hash (PIH). Raseedo creates documents one at a time so simultaneous order activity does not break the sequence.

Your store keeps the signed XML and ZATCA response. If ZATCA rejects a submitted document, the reason appears in the E-invoices tab and in an order note. Network problems and ZATCA outages are retried within the reporting window.

Debit notes are not issued by Raseedo

Raseedo's XML builder supports debit notes, and onboarding passes ZATCA's debit-note compliance samples. However, WooCommerce has no debit-note action, and Raseedo does not provide one.

Raseedo currently issues invoices when an order is paid and credit notes when an order is refunded. It does not issue debit notes.
